Initial information for you to send to Charlyna:

  1. Your cell number
  2. Your travel schedule
  3. Air travelers: your flight itinerary prior to purchase for approval.
  4. Dietary restrictions (optional)
  5. Seminar information: Your talk title and abstract, a short bio, and a photograph (if possible) for advertising the seminar at least one-week prior. Your presentation, including the question-and-answer section, should last one hour.

 

TWO IMPORTANT NOTES: 

1. The UC system has detailed policies regarding travel reimbursements, please be sure to review sections 1 and 4 below to avoid any issues.
2. Per UC policy, all travel reimbursement claims must be submitted to the CS offices within 30 days of the completion of your trip in order to receive a reimbursement. 

 

1. TRAVEL

The Computer Science Department prefers visitors to make their own travel arrangements, with the exception of hotel reservations.

 

Air travelers:

Prior to purchase, please send your flight itinerary with estimated cost to Charlyna for review.

 

Per UC travel policy: 

  • We can only reimburse coach class or economy tickets. 
  • Airline receipts must include itinerary, total cost, and proof of purchase (e.g. visa xxxx xxxx 1234).
  • You can purchase airfare through sites like Expedia and Kayak as long as it meets the above two requirements, but you cannot purchase packaged deals (airfare and rental car). Do not purchase anything from Hotwire as they do not show a breakdown of expenses.
  • The Santa Barbara Airport (SBA) is next to UCSB. Alternatively, fly to LAX and take the Santa Barbara Airbus from there.

 

Local transportation:

UCSB and the hotel are both within 2 miles of Santa Barbara Airport (SBA). Your interview day(s) transportation will mostly be provided by the hotel shuttle, your faculty host, and taxi.

    • Drop off at the UCSB KITP (Kavli Institute for Theoretical Physics), which is across the lane from the CS Dept. in Harold Frank Hall

    • If you are not staying the night after your interview day, please bring your luggage to Charlyna.
  • Automobile Rentals: due to UC system reimbursement policies, please consult Charlyna prior to auto rentals.

Personal Automobile Travelers:

  • Reimbursement rate: 51 cents a mile (this includes gas).
  • Insurance: you must have liability insurance

  • Parking:
    • A “VIP” campus parking permit may be reserved under your name.
    • To pick up permit: from Mesa Road, turn (at the street light) on to University Plaza. On University Plaza, reach the stop sign in the right lane. Go straight through the stop sign into the drop-off area. In the center is a kiosk. Starting at 7:30 a.m., pick up your permit at the kiosk.
    • Parking lot 10 is recommended. (See Campus Map).
    • Do not park in marked spots (e.g. Coastal Access, Restricted, Faculty Only)

 

2. LODGING

The room will be billed directly to the CS Department. Incidentals must be paid by you and can be claimed if reimbursable.

3. SCHEDULE, SEMINAR and MEETINGS

Charlyna will send you a personalized schedule based on your travel schedule. The typical 1 ½ day schedule will include the following:

Your one-hour research seminar
Lunch with Ambuj Singh, Department Chair
Meetings with CS Faculty
Lunch with Graduate Students

Meeting with Dean Rod Alferness, College of Engineering

Seminar: 
You will need to bring your own laptop, adapters, PowerPoint remote, laser pointer etc. If you forget anything, contact Charlyna.

4. REIMBURSEMENTS

As UCSB is a publicly funded institution, we have very specific reimbursement policies for travel expenses. Detailed instructions and forms will be sent to you after your visit is completed. Per UC policy, all travel reimbursement claims must be submitted to our offices within 30 days of the completion of your trip in order to receive a reimbursement.

  • Airfare receipt: must include itinerary, charges and detailed payment method (i.e. last digits of credit card)
  • Airfare seating upgrades: due to UC system reimbursement policies, please consult with Charlyna prior to seating upgrade
  • Automobile rentals: due to the UC system reimbursement policies, please consult with Charlyna prior to any auto rental
  • Package Deals: Do not purchase package deals
  • Hotel Room: your hotel room and taxes will be billed directly to the CS department
  • Meals: the CS department will provide you with lunch and dinner (pending your travel schedule) during the day(s) of your interview. The UC System does not have a per diem so meals must be claimed on a day-by-day basis. The UC reimbursement maximum is $71 per 24-hour period.

    • Electronic receipts are accepted for airfare and intercity transportation if they were purchased online
    • Receipts may be scanned and emailed if they are under $75 per incident for meals, local bus/taxi, gas for prior approved rental car.
  • Non-resident aliens: anyone who is not a citizen or U.S. resident alien (also known as a permanent resident or “green card holder”) must include the following. UC employees do not need to send.

NOTE: the following visa types are not eligible to receive any travel payments for expenses incurred in the United States: F-2, H-4, O-3 and P-4.
